Media Center Policies
The Media Center's main
function is to coordinate loanpool equipment. Media Center staff work with the
user to establish when the equipment will be checked out and returned.
Equipment is often committed to successive users with the expectation that
the equipment will be returned on time. Late returns seriously
inconvenience users and events.
Late returns are charged rental fees
at the daily rate of the equipment for every day it is overdue regardless of
the use. Make sure your scheduling request includes travel
times. Make sure you know when the equipment is due.
Reservations
- Faculty and Staff will need to provide a budget number to cover late fees or damaged equipment.
(Department accountants don't always use the same budget number so we
don't keep them from reservation to reservation and the Media Center
will need them each time.)
- Reservations not picked up on the first day of the reservation will be canceled
and will have to be rescheduled. You can walk in and get the equipment
without a reservation provided the equipment is available.
- Not canceling reservations for equipment no longer
needed often prevents other users from getting equipment; please cancel
reservations.
- Phone messages and emails requesting equipment
usually don't provide enough information to make a reservation; it is
best to call (885 6411) during business hours to make sure of your
reservation.
- If we are able to complete a reservation request from
an email request we will send a return confirmation email. If you do not
receive a confirmation, you do not have a reservation.
Check Out
- Students will need to show their
student ID every time they pick up equipment.
- Faculty and Staff will be asked
for a budget number and their University ID.
- Check-out period is three days on most equipment.
Media Center staff will provide some flexibility within reason to
accommodate user needs.
- Semester-long requests for equipment require that the
equipment be rented and can only be granted if the requested equipment
isn't a high use item.
- Overdue equipment is subject to fines at the daily rental rate,
rates are dependent on the type of overdue equipment and can be
expensive.
- Students need to produce a faculty signed
Loan Authorization Form when they pick up their equipment.
- Graduate students, who are teaching, and TAs need to file a
TA Authorization Form for each semester
they are teaching in order to check out equipment or sign off on their
students' Loan Authorization Forms.
- Runners picking up equipment for other people must provide a University of Idaho ID which will be copied and attached to the order.
- Student clubs must be listed on the
Universities Student Organizations web page. Academic and
Professional Clubs can check out the equipment at no charge with a Loan
Authorization Form signed by the faculty advisor. All other club
categores must rent the equipment at the discounted University rate.
Loan Authorization and TA Authorization
forms are needed to insure that the equipment is being used for class
assignments. The Loan Authorization form has to be signed by the teacher
making the assignment, the departmental secretary or the department
head. There is no listing that the Media Center can check to see if a
student is really teaching or assisting in teaching a class and
therefore has to register with Media Center by providing the completed
TA Authorization
Form. The TA Authorization Form has to
be signed by either University Faculty that is coordinating the class or
the department head.
Classroom Support
- Classroom training and assistance for the technology
rooms is available through Classroom
Technology Services at 885-0570.
- The Media Center is responsible for basic rooms
equipped with an overhead and TV, if you need Technology Equipment then
you need to reschedule your room with the registrar.
Equipment Rental Fees
State supported activities (No Equipment Fees)
- State supported U of I course which generate credit hours
and is listed in the University Time Schedule
- University funded research
- Academic support entities (e.g. University Admission, Academic Deans, Graduate Schools, etc.)
- Institutional Support (Human Resources, Legal Counsel etc.)
University affiliated but non-state supported activities.
(Reduced Rental Fees)
- Non-state supported University of Idaho sponsored courses.
- Non-state supported University of Idaho research
(Grants)
- Any activity or the preparation for an activity where a fee is charged to the participants or audience
- Non-academic clubs or events
- University Living Groups
Non-University affiliated activities (Full Market Value
Rental)
- Personal Use by any University of Idaho Employee
- Use by any University Employee that is part of one's private consulting in which one receives compensation
- Use by non-affiliated individuals or organizations regardless of coordinating entity
